Job Summary:

The Portfolio Analyst supports enterprise portfolio orchestration by supporting the intake process, maintaining the enterprise roadmap, and coordinating cross-initiative dependencies. This role is responsible for managing the day-to-day portfolio operations: processing intake requests, updating roadmap status, tracking initiative sequencing, and facilitating coordination across delivery teams and Centres of Excellence. 
As a member of the Portfolio Governance & Orchestration team, the Portfolio Analyst provides accurate, timely portfolio information that enables effective prioritization, oversight, and decision-making. The role focuses on portfolio coordination and operational execution, partnering closely with the Portfolio Performance & Insights Analyst, who is accountable for portfolio performance analysis and benefits realization.

Working with delivery teams, business partners, and Centres of Excellence, the Portfolio Analyst ensures portfolio information is complete, accurate, and decision-ready; identifies dependencies and coordination risks; and supports alignment across initiatives and enterprise priorities.

Key accountabilities:

Enterprise Intake Process Operations

  • Support with the operations of the centralized enterprise intake process: receive, triage, and process all new initiative requests according to established intake criteria and workflows. 
  • Conduct intake assessments to validate submission completeness, classify initiative types (Change/Create, Improve, BAU)
  • Maintain the intake pipeline and track all submissions from receipt through initial decision, ensuring nothing falls through the cracks. 
  • Engage teams outside Enterprise Strategy & Enablement to inventory project initiatives in play
  • Liaises with managers, leads, and functional teams to clarify ambiguity, strengthen intake quality, and improve visibility across the portfolio.
  • Coordinate intake with the Manager to prepare intake recommendations for prioritization workshops and governance forums.
  • Support intake process improvements by collecting feedback, identifying bottlenecks, and recommending workflow enhancements.
  • Support Manager to develop artefacts that provide the foundation to intake: terms of reference, process maps, forms, etc.
  • Monitor outcomes of the intake channel for iterative performance retrospect

 

Enterprise Roadmap Maintenance & Updates

  • Maintain/update the enterprise transformation roadmap as the real-time single source of truth for all major initiatives, ensuring accuracy in initiative status, milestones, timelines, and sequencing. 
  • Ensure roadmap updates align with approved governance decisions, change control processes, and enterprise priorities. 
  • Collect and validate status updates from delivery teams, Project Managers, and Business Analysts on a weekly basis to keep the roadmap current. 
  • Update portfolio roadmap visualization for single source of truth. (e.g. timeline views) to reflect approved changes in scope, sequencing, or timing that affect the SE portfolio. 
  • Identify and flag roadmap conflicts (resource overlaps, timeline clashes, dependency gaps) to the Manager for resolution. 
  • Ensure roadmap reflects governance decisions and prioritization outcomes, maintaining alignment between plan and execution.

 

Initiative Coordination & Dependency Tracking & Dependency Tracking

  • Support the Manager in proactively identifying and tracking cross-initiative dependencies, risks, and integration points to prevent conflicts and missed handoffs. 
  • Uses structured analysis to challenge inconsistencies, reconcile competing information, and improve the quality of portfolio data used for decision-making.
  • Maintain dependency maps, ensuring visibility into which initiatives rely on each other and when handoffs must occur. 
  • Escalate unresolved dependencies, blockers, or coordination issues to the Manager for governance forum discussion. 
  • Support the Transformative Practice Alliance by coordinating inputs across delivery functions

 

Governance Forum Support & Materials Preparation

  • Support preparation of materials for portfolio governance forums (Enterprise Portfolio Board, leadership reviews) by collecting status updates, risks, and decisions. 
  • Track actions and decisions arising from governance discussions and ensure follow-through. Coordinate logistics for governance forums (scheduling, agenda distribution, materials consolidation). 
  • Supports portfolio governance by ensuring decisions, assumptions, dependencies, and actions are accurately captured and traceable.
  • Maintain governance documentation (decision logs, action trackers, meeting notes).
  • Update portfolio boards using Monday.com, or equivalent visualization platforms

 

Process Discipline & Continuous Improvement 

  • Maintain portfolio management tools and templates (intake forms, roadmap trackers, dependency maps, status dashboards). 
  • Contribute to continuous improvement of portfolio processes, tools, and workflows based on user feedback and operational experience. 
  • Ensure portfolio data quality through consistent application of standards and validation protocols.

 

Knowledge, Skills and Abilities

  • Education: Bachelor's Degree                    
  • Preferred field of study: Business, Management, Analytics, Economics, or a related discipline
  • Years of Experience in Role: 3-5 years of experience

 

Others  

  • Experience in PMO, portfolio administration, transformation, or enterprise reporting environments.
  • Experience working with structured data, templates, and governance processes
     

Additional Skills/Abilities Required:

  • Strong analytical capability with ability to reconcile complex information from multiple sources, identify trends and dependencies, and highlight potential implications 
  • Disciplined data management ensuring accuracy in portfolio tracking, reporting, and governance artifacts 
  • Advanced Excel proficiency for data analysis, reconciliation, and reporting 
  • Proficiency with enterprise portfolio management tools (Smartsheet, Jira Portfolio, or equivalent) 
  • Ability to operate within established governance frameworks and reporting cadences 
  • Proven experience supporting intake workflows including triaging, classifying, and routing initiative requests 
  • Ability to identify dependencies, track integration points, and escalate risks or conflicts 
  • Strong organizational and follow-through skills to manage multiple workflows, deadlines, and competing priorities 
  • Ability to coordinate inputs across teams and initiatives, ensuring alignment without direct authority 
  • Clear written communication skills for documenting updates, assessments, and coordination activities 
  • Ability to present information to varied audiences and stakeholders 
  • Comfort working in ambiguity and applying structured thinking in complex, cross-functional environments with evolving priorities 
  • Ability to gather information, clarify requirements, and navigate competing stakeholder needs 
  • Healthcare or regulated industry experience preferred


Certifications (Preferred): Portfolio management and/or PMO fundamentals training
