Job Summary:
The Privacy Specialist provides operational and practitioner support to SE Health’s Privacy Office. Working under the direction of the Senior Privacy Specialist, this role supports day-to-day privacy compliance activities and leads assigned privacy assessments for projects and vendors, including digital and transformation initiatives. The Privacy Specialist helps ensure privacy requirements are consistently applied across the organization.
Job Responsibilities:
Project, Vendor and Digital Initiative Privacy Support
These responsibilities support privacy work arising from transformation initiatives, new projects, vendor onboarding, and change activities:
- Lead assigned Privacy Impact Assessments (PIAs) for low-to-moderate risk projects and vendors by collecting project and vendor information, identifying privacy risks, and documenting mitigation measures, under the guidance of the Senior Privacy Specialist.
- Provide privacy guidance to project teams and business partners during project planning and implementation activities, escalating complex matters as required.
- Review vendor privacy documentation and assess alignment with SE Health privacy requirements and escalate gaps and risks for senior review.
- Prepare briefing notes, summaries and presentation materials for internal stakeholders and project teams related to privacy requirements and assessments.
- Support privacy-related project meetings and working sessions, including scheduling and logistics.
Incident, Intake and Privacy Operations Support
These responsibilities support intake, incident management and ongoing privacy operations:
- Maintain, track, and manage privacy incidents, access requests, and complaints in designated intake systems.
- Conduct initial incident triage by gathering facts, documenting details, and preparing summaries and draft recommendations for senior review.
- Provide first-level responses to routine privacy questions and support interpretation of applicable policies and procedures for staff and project teams.
- Maintain and update privacy inventories, registers, and compliance tracking tools.
Privacy Program Compliance, Policy and Regulatory Support
These responsibilities support compliance and program maintenance:
- Assist in reviewing and updating privacy policies, procedures, and internal guidance documents.
- Monitor regulatory developments and summarize relevant changes and potential operational impacts for senior staff consideration.
- Support ongoing privacy monitoring and audit readiness activities by organizing documentation, tracking follow-up actions, and assisting with evidence collection.
- Prepare and maintain standard operating templates, checklists, and user-facing privacy resources
Reporting, Training and Program Support
These responsibilities support reporting, awareness and program operations:
- Compile metrics and draft regular reporting summaries for privacy leadership.
- Support the creation and rollout of privacy training materials, guides, and awareness communications.
- Prepare briefing notes, meeting materials and presentation drafts for privacy leadership.
- Coordinate privacy-related meetings, workshops and training sessions, including scheduling and logistics.
- Provide day-to-day program support to ensure the effective functioning of the Privacy Office
Education & Certifications
- Bachelor’s degree or diploma in Health Information Management, Law, Business Administration, Information Management, or a related field.
- CIPP/C (IAPP) or CHIM (Canadian Health Information Management Certification) preferred or willingness to obtain.
- Training in privacy, compliance, or records management is an asset.
Experience:
- 1-3 years of experience in privacy, compliance, health information management, or related roles.
- Experience leading or supporting Privacy Impact Assessments, vendor privacy reviews, or project-related privacy activities.
- Experience working with documentation, logs, registers, or intake processes.
- Familiarity with Canadian privacy laws such as PHIPA, PIPEDA, FIPPA, or organizational privacy practices.
- Experience in healthcare, community care, or regulated environments is an asset.
- Ability to manage multiple priorities and work effectively with diverse stakeholders in a fast-paced environment.

- Strong written and verbal communication skills, with the ability to clearly summarize information and prepare reports and briefing materials.
- Ability to apply privacy policies and legislative requirements to operational and project scenarios, and to identify and document privacy risks and mitigation actions.
- Ability to work effectively with project teams, vendors and internal stakeholders while supporting privacy assessments and compliance activities.
- High level of professionalism and discretion in handling sensitive and confidential information.
